Terms & Conditions:
No exhibitor shall assign, sublet, or apportion the whole or any part of the exhibitor’s allocated space. No exhibitor shall occupy another exhibitor’s assigned booth space without prior approval of the OKPMA. No exhibitor shall extend their booth displays outside of their allotted space, or remove any pipe / drape from their booth space. The OKPMA reserves the right to adjust the exhibit area layout as necessary and will post any such changes on its website. The OKPMA reserves the right to regulate an exhibitor’s use of items or devices if the OKPMA, by its sole and absolute discretion, determines that they disrupt the Symposium. Exhibitors agree to follow any rules and restrictions places on the use of such items or devices.
Exhibitors agree not to host any activities onsite or offsite that conflict with the OKPMA’s schedule of events. Failing to comply with these rules and restrictions shall result in the exhibitor’s immediate expulsion from the Symposium and Hotel premises and may prevent the exhibitor from registering for any future events. Exhibitors agree to indemnify, defend, and hold harmless the Oklahoma Podiatric Medical Association, the Embassy Suites Downtown Medical Center, and their members, employees, agents, independent contractors, and subcontractors from any and all suits, losses, damages, costs, penalties, or claims as a result of the exhibitor’s actions or omissions arising from, in connection with or incidental to the use of the venue during the Symposium including but not limited to, court costs, and attorney’s fees.
By submitting the registration form and payment to the OKPMA you authorize the OKPMA to reserve your exhibit space and understand that this is an application for exhibit space and is not a contract until officially accepted by the OKPMA. You agree that by submitting this completed application electronically, the entry of the authorized representative’s name, title and company name shall constitute an offer and electronic signature. The OKPMA reserves the right to decline any application at its sole and absolute discretion. By your signature, you agree to pay all amounts required under this contract in the time frame specified therein. You understand that you will receive confirmation via email within ten business days of receipt of payment and application, and agree that upon receipt of electronic confirmation of the application, this application shall immediately become an enforceable contract. Cancellation of registration must be received in writing before September 8th. If you cancel your registration, you will be charged a $400 cancellation fee. You further agree to abide by the specifications, rules, restriction, and regulation of this application, all conditions under which exhibit space is leased by the OKPMA, and all rules and restrictions promulgated by the OKPMA during the Symposium.
